NDE tool calibration and custody

2026-05-24 · Phased-array UT units, UT gauges, Holiday detectors, radiation survey meters & torque tools (ISO/IEC 17025)

Measured outcomeZero audit findings from overdue calibration gauges and complete job-by-job billable tool accountability at turnaround closeout.

During a major refinery or petrochemical turnaround, hundreds of ultrasonic thickness gauges, phased-array flaw detectors, cobalt/iridium survey meters, holiday detectors, DFT gauges, and calibration blocks move between central warehouses, site tool cribs, and field technicians every shift.

If a single thickness gauge or survey meter is used past its calibration due date, every inspection logged with that instrument can be invalidated during customer or regulatory review.

Current state before intelliSPEC

  • Spreadsheet check-out logs at the tool crib: Crib attendants logged serial numbers on clipboards or local spreadsheets during shift-change lines, leading to unrecorded handoffs between day and night crews.
  • Overdue calibration discovered after the shift: Calibration expiry dates were tracked in a quality folder separate from the dispatch desk, allowing due-soon gauges to remain in the field.
  • Turnaround demobilization losses: Reconciling returned gear, damaged probes, and job-specific rental charges at the end of an outage took weeks and delayed final job closeout.

Configured path

The provider deployed intelliTRACK, intelliCREW, and intelliEDGE connected to the intelliVISION register.

  1. QR and barcode serialization: Every instrument, transducer, calibration block, and radiation survey meter was labeled and registered in with its ISO/IEC 17025 calibration certificate and due date.
  2. Scan-to-issue at the crib and in the field: Technicians checked kits out and back by barcode scan in , capturing condition photos and digital sign-off at every custody transfer.
  3. Automatic calibration gating on inspection forms: When a technician selected a gauge in or , the platform verified that its calibration window was active in and bound the serial number to the reading.

Measured outcome

  • Zero invalidated NDE or DFT reports: Instruments within 30 days of calibration expiry are flagged in the operations queue, and expired serials are blocked at check-out.
  • Fast turnaround demobilization: The Job Closeout wizard reconciles warehouse returns, missing consumables, and billable exposure in one workflow.
  • End-to-end chain of custody: Every inspection reading carries the exact instrument serial number and calibration certificate that produced it.
